Booking Terms

These general terms apply to airport transfers, long-distance journeys, chauffeur travel and private UK tours arranged through Oxford Executive Travel. The specific written quotation and confirmation form part of the agreement.

1. Quote requests and confirmation

Submitting the website form, sending a message or receiving an automatic reference does not confirm a booking. A journey is confirmed only when availability, route, date, time, price and other material details have been agreed in writing.

Quotations are based on the information supplied and may expire or be withdrawn before confirmation.

2. Accurate information

The customer must provide correct pickup and destination addresses, dates, times, flight details, terminal, passenger numbers, luggage, child-seat requirements, accessibility needs, stops and return details. Changes or missing information may affect availability, vehicle capacity and price.

3. Prices and additional charges

The confirmed quotation covers the agreed itinerary. Additional waiting, parking, tolls, congestion or clean-air charges, stops, route changes, excess luggage or other services not included in the quotation may be charged separately where reasonably incurred or agreed.

4. Payment

Payment timing and method will be stated in the confirmation. Customers should use Stripe, PayPal or another payment link only after receiving an agreed quotation and booking reference. The reference should be entered with the payment where requested.

5. Cancellations and changes

Cancellation and amendment terms may vary according to the journey, notice given, vehicle arrangements and costs already committed. Any specific cancellation terms included with the quotation or confirmation take priority. Contact Oxford Executive Travel as soon as possible when plans change.

6. Airport collections

Customers must provide the correct flight number and contact details. Flight monitoring assists planning but does not guarantee live information will always be accurate or available. Parking, waiting and meet-and-greet arrangements will follow the written confirmation.

Customers should contact the driver or booking number after landing as instructed. Failure to make contact or attend the agreed meeting point may be treated as a passenger no-show after reasonable efforts have been made.

7. Delays and events beyond control

Reasonable efforts are made to arrive at the agreed time, but road closures, congestion, weather, accidents, flight disruption, security restrictions and other events outside reasonable control may cause delay. Customers should allow suitable contingency time, particularly for flights, cruises and appointments.

8. Vehicles and service providers

A suitable licensed and insured vehicle is arranged according to the booking details. A particular make, model, colour or registration is not guaranteed unless specifically agreed in writing. Where appropriate, another suitable licensed driver or vehicle provider may assist in fulfilling the booking.

9. Passenger conduct and safety

Passengers must act lawfully and safely, wear seat belts where required, follow reasonable driver instructions and avoid behaviour that risks harm, damage or serious disruption. Smoking and unlawful substances are not permitted in the vehicle.

The customer is responsible for damage or exceptional cleaning reasonably attributable to passengers in the booking, subject to evidence and applicable law.

10. Luggage and personal belongings

Luggage must be declared accurately and remain within safe vehicle capacity. Dangerous, unlawful or unsuitable items may be refused. Customers are responsible for checking that they have all belongings when leaving the vehicle and should report lost property promptly.

11. Tours and complex itineraries

Tour transport normally excludes attraction tickets, accommodation, meals and guide services unless expressly included in writing. Itinerary changes may affect price and timing.

12. Liability

Nothing in these terms excludes or limits liability where doing so would be unlawful. Subject to that, Oxford Executive Travel is not responsible for indirect losses or missed onward arrangements caused by inaccurate customer information or events outside reasonable control.

13. Privacy and governing law

Personal information is handled as described in the privacy notice. These terms are governed by the laws of England and Wales, and statutory consumer rights remain unaffected.
